Administrative Assistant to President

RESPONSIBILITIES 

  • Preparing correspondence, memos, minutes, spreadsheets, proposals, presentations, client briefings, tenant survey presentations and reports frequently of a confidential, strategic and/or specialized nature from various sources
  • Assisting with coordinating the annual budget
  • Organizing the monthly and quarterly reports
  • Assisting with maintaining the database and filing system
  • Coordinating meetings and presentations, including room layout and refreshments
  • Travel arrangements
  • Distributing correspondence to the correct party
  • Editing and preparing documents, presentations and correspondence
  • Coding of invoices, expense reports, corporate credit card expenses, and cheque requisitions
  • Other duties as assigned
  • REQUIREMENTS:
    – Use your knowledge of MS Office to assist the director with PowerPoint presentation creation and Excel reporting
    – Work with the internal team to arrange onsite vendors at the various locations, ensuring all paperwork is in place
    – Support the director with ad hoc projects and support the division with administrative functions

    Qualifications
    – 2 years of experience in administrative support
    – Energetic, warm and friendly personality who loves to work in a team environment
    – Excellent verbal and written communication skills
    – Previous experience working directly with a senior manager considered an asset
